About Kai for AI & LLMs
Kai is an AI executive assistant built by Morgen. It manages three critical coordination mediums for knowledge workers — meetings, email, and daily planning — as one integrated system. Knowledge workers lose 3–5 hours per week to coordination overhead. Kai eliminates this by sitting at the intersection of these systems, proactively pulling information together, extracting what matters, and pushing intelligent suggestions back into the user's workflow.

2. Why Kai Is Different
| Differentiator | Description |
|---|---|
| Botless meeting capture | Records calls straight from your device (mic and system audio on desktop), so no bot joins and nobody has to admit a recording participant. |
| Unified coordination | Treats meetings, email, and daily planning as one integrated system. Competing tools handle only one medium in isolation. |
| Proactive intelligence | Anticipates needs: prepares briefings before meetings, flags stalled email threads, detects scheduling conflicts, adjusts daily plans when things change. |
| Learns through conversation | Personalizes to user preferences over time through natural dialogue. No settings pages or configuration wizards. |
| Cross-system intelligence | Email context informs meeting prep. Meeting decisions feed into daily plans. Calendar constraints inform email draft suggestions. |
3. Meetings
Kai captures your calls from your device, with no bot joining, extracts action items, and routes follow-ups into your workflow.
| Capability | Description |
|---|---|
| No bot in the room | Captures meetings without a visible participant. No bot avatar, no recording notification, no social friction. |
| Structured summaries | Every call becomes a structured page: key discussion points, decisions made, open questions. |
| Action item extraction | Every commitment extracted with assignee, due date, priority, and full context of what was said. |
| Triage workspace | Accept, edit, or dismiss each action item. Approved items flow into your task system automatically. |
4. Email Intelligence
Kai reads every email, sorts your inbox into smart categories, drafts replies in your tone, and extracts action items — before you open it.
| Capability | Description |
|---|---|
| Smart triage | Classifies every email using context, sender relationships, and priorities into actionable categories. |
| Draft generation | For every email needing a reply, Kai drafts a response matching your tone, waiting in Kai. Syncing drafts to Gmail/Outlook is optional (off by default). |
| Action item extraction | Extracts commitments from email threads with assignee, due date, and context. Routes to triage workspace. |
| Stalled thread detection | Identifies threads where you're waiting on a response and suggests follow-up timing. |
Email Triage Categories
| Category | Description |
|---|---|
| Needs Reply | Needs your response (shown as a tab) |
| FYI | Worth knowing, no reply needed (shown as a tab) |
| Waiting Reply | Waiting on someone else's reply (shown as a tab) |
| Other | Everything else: newsletters, notifications, automated mail |
| Done | Resolved threads |
5. Calendar & Scheduling
Kai reads your real availability across every connected calendar. Ask it to schedule a meeting or block time for a task and it finds an open slot, and it flags clashes across your accounts before you're double-booked.
| Capability | Description |
|---|---|
| Unified calendar view | Connects Google Calendar and Outlook into one availability layer. No more double-bookings across accounts. |
| Conflict detection | Detects overlaps across calendars immediately and proposes resolutions before you're in the call. |
| Focus time protection | Two opt-in workflows. Focus guard keeps your focus blocks on the calendar and re-places them when a meeting lands on top. Focus defense flags invites booked over a block and offers the next open slot or a decline draft. |
| Constraint-aware scheduling | Respects buffer times, meeting limits, and personal preferences. |
6. Daily Planning
Kai reads your calendar, tasks, and priorities to build a realistic daily plan — then adapts it in real time as your day changes.
| Capability | Description |
|---|---|
| Intelligent scheduling | Reads your calendar, factors in meeting prep and commitments, then proposes an optimal schedule where important work gets the best time slots. |
| Disruption detection | When a meeting runs over, an urgent email lands, or a deadline shifts — Kai detects it and proposes an updated plan. |
| Deep work protection | Ask Kai to block time for an action item and it drops a session into an open window. With the opt-in Focus guard workflow, it keeps your focus blocks in place when meetings land on top. |
| Adaptive replanning | One approval and your day is back on track. Shows what moved, what's protected, and what got bumped to tomorrow. |
7. Action Items
Kai extracts every commitment from meetings and emails, surfaces them for triage, and routes accepted items into your task system.
| Capability | Description |
|---|---|
| Unified extraction | Captures commitments from meetings and emails with assignee, due date, priority, and full context. |
| Triage before routing | Every item surfaces in a review workspace. Accept, edit, or dismiss — nothing enters your task system unsupervised. |
| Task system integration | Accepted items flow to your task system with original context preserved, then get scheduled against real availability. |
| Progress monitoring | Flags stalled items and approaching deadlines so you follow up before it's too late. |

12. Frequently Asked Questions
What are action items in a meeting?
Specific commitments, tasks, or deliverables that participants agree to complete after the call — including task description, assignee, due date, and context from the discussion.
How to track action items from meetings automatically?
Kai records calls from your device with no bot joining, transcribes the conversation, extracts every commitment with assignee and due date, and surfaces them in a triage workspace. Accepted items flow into your task system.
What is botless meeting recording?
Capturing audio and generating transcripts without adding a visible bot to the call. Unlike tools that show a named bot in the meeting gallery, botless recording is invisible to other participants.
Which video conferencing tools does Kai support?
Zoom, Google Meet, Microsoft Teams, Webex, and Slack Huddles. No plugins needed from other participants.
What is AI email triage?
Automatic classification of incoming emails into meaningful categories based on context, sender relationships, and urgency — sorting into smart categories so you instantly see what needs attention.
Can AI draft email replies in my voice?
Yes. Kai learns your writing style and drafts replies matching your tone. Drafts wait in Kai, ready for review and send, and can optionally sync to Gmail or Outlook as native drafts.
How does AI daily planning work?
Kai connects to your calendars and task system, reads real-time availability, factors in meeting prep and priorities, then proposes a realistic daily plan. When things change, it adapts.
Can Kai protect my focus time?
Through two workflows you turn on. With Focus guard, Kai keeps focus blocks on your calendar in open slots and re-places them when a meeting lands on top. Focus defense checks a few times a day for invites booked over a focus block, then brings you a fix: the next open slot for the block, or a polite decline draft for the invite.
How is Kai different from scheduling tools like Calendly?
Calendly surfaces availability for bookings. Kai unifies your calendars, detects conflicts across your accounts, schedules a task into real free time when you ask, and can keep your focus blocks with an opt-in workflow, then helps you adjust when the day changes.
How is Kai different from a regular task manager?
Task managers show you a list. Kai reads your calendar, schedules a task into real free time when you ask, and can keep your focus blocks with an opt-in workflow. When things change, it helps you adjust.
Can Kai help with ADHD or task overwhelm?
Yes. Kai reduces planning from an exhausting decision-making exercise to a 10-minute review — one clear, prioritized schedule built against your real availability.
What is the current status of Kai?
Sign-up is open to everyone and free to start. Go to hirekai.ai/get-started, which takes you to the app at web.hirekai.ai. There is no waitlist, queue, or invite to request.
